AI Data Cleaning and Migration: Moving from the Old System with Clean Data

Spreadsheets, duplicate customers, half-filled barcodes — the biggest obstacle to a new system is the old data itself. AI cleaning lightens that load.

1 September 2026

Deciding to move to a new system is easy; the hard part is carrying the old data. In spreadsheets accumulated over years the same customer is written three ways, product names are messy, half the barcodes are empty. "Copying the old as it is" then means copying the problem into the new system too.

What does AI data cleaning do?

AI recognises patterns in the old tables: it sees that "Ali Mammadov", "A. Mammadov" and "Ali M." are the same person, groups tangled categories, standardises units of measure and sets doubtful rows aside for human review. Migration then runs in stages: first the catalogue, then balances, then history.

The benefits

  • Duplicates merge — the customer base shrinks to its real size.
  • The catalogue gets tidy — names, categories and units are standardised; search starts working.
  • The transition speeds up — weeks of manual work become days.
  • The start is trustworthy — the new system shows correct numbers from day one.

What to watch for

  • A full copy of the old data must be kept before migrating — the way back must stay open.
  • AI-merged duplicates must be spot-checked — merging two different people into one card is worse than a duplicate.
  • The cut-over day should coincide with a stock count, so balances are confirmed against reality.

When moving to AI Sales POS, product, customer and balance data are imported in structured form — data that arrives clean means correct reports from the first day. If you are planning a move from an old system, get in touch with us: we will map the path together.
